If your company books business trips in Perk, WorkFlex can keep the work locations you define in WorkFlex in sync with a single-select custom field in Perk. Once sync is on, WorkFlex is the source of truth: every work location you add, rename or delete in WorkFlex is pushed to Perk. Trips booked in Perk then carry the right work location for permanent establishment (PE), wage tax and Posted Worker Notification (PWN) checks.
What this changes for your trips: travellers pick the work location in Perk when they book, and WorkFlex adds it to the trip automatically. Trips no longer stay in Pending because the work location is missing, so nobody has to add it by hand.
Setup has two steps:
Connect your Perk API key so WorkFlex can write to Perk.
Link the Work location custom field in Perk by pasting its settings URL into WorkFlex.
Before you start
The Perk integration is connected. If it is not, follow Business Travel integration with Perk first.
You are an HR admin in WorkFlex.
You are an admin in Perk with permission to create API keys.
Perk has a single-select custom field named Work location (Settings → Cost management → Custom fields). If it does not exist yet, create it first.
Step 1: Connect your Perk API key
1. Open Work locations in WorkFlex
Go to Company settings and click Work locations. At the top of the page you will see the Sync work locations with Perk card with the status Setup 0/2. Click Add API key.
2. Open the Manage Perk dialog
You are taken to Company settings → Integrations → Travel Tools, and the Manage Perk dialog opens with the API key status Not stored. Click + Add API key to show the API key field. Keep this tab open and switch to Perk.
3. Create an API key in Perk
In Perk, go to Settings → Developer tools → API tools.
Click New API key, enter a descriptive name (for example WorkFlex work locations sync) and click Create key.
Perk shows the new key once. Click the copy icon next to the key, then click Save.
Important: Perk shows the key only once. Copy it before you close the dialog, and never share it by chat, email or in documents.
4. Paste the key in WorkFlex
Back in WorkFlex, paste the key into the API key field of the Manage Perk dialog and click Save. You will see API key saved. and the status changes to Stored.
Click the Work locations link in the dialog to go back. Step 1 now has a check mark and the status is Setup 1/2.
Step 2: Link the "Work location" custom field
1. Open the field in Perk
In Perk, go to Settings → Cost management → Custom fields and click Work location (Single-select) in the Active list.
2. Copy the field's URL
The field's settings page opens. Copy the full URL from your browser's address bar. It looks like this: https://app.perk.com/account/custom-fields/<field-id>
3. Paste the URL in WorkFlex
On the WorkFlex Work locations page, paste the URL into the field under Link the "Work location" custom field and click Save.
Check that sync is on
The card now shows Up to date, the Auto-sync toggle is on and the banner says WorkFlex is the source of truth. You can click Resync now at any time to push all work locations to Perk again.
Expand Setup details to see the connection: the API key is Connected (click Manage to update it), and the linked custom field is Work location (with Open in Perk and Change).
In Perk, open the Work location custom field and scroll to Field values. Your WorkFlex work locations now appear as values.
Auto-sync and manual sync
The Auto-sync toggle on the card controls when your changes reach Perk.
Setting | The card shows | What to do |
Auto-sync on | Up to date and "WorkFlex is the source of truth" | Nothing. Changes are pushed to Perk automatically. |
Auto-sync off, nothing pending | Up to date, "Auto-sync is off" and Resync now | Nothing for now. Future changes wait until you sync them. |
Auto-sync off, changes pending | Out of sync, "N changes haven't reached Perk yet" and Sync N changes | Click Sync N changes, or turn Auto-sync back on. |
With Auto-sync on
Add, edit or delete work locations as usual (see Taxable business trips). As soon as you click Save, you will see Work locations updated successfully! and the change is already in Perk. The card stays Up to date.
With Auto-sync off
Click the Auto-sync toggle to turn it off. You will see Perk sync setting saved. and the banner changes to Auto-sync is off.
When you now add, edit or delete a work location, the card switches to Out of sync and shows how many changes have not reached Perk yet.
Click Sync N changes. A message summarises what happened in Perk, for example Perk work locations synced: 1 added, 0 archived, 6 unchanged. Deleted work locations are reported as archived. The card returns to Up to date.
To go back to automatic syncing, click the toggle again.
Good to know
Manage work locations in WorkFlex only. Changes made directly to the field values in Perk can be overwritten by the next sync.
To replace the API key, go to Company settings → Integrations → Travel Tools → Perk → Manage and click Update key. Removing the key or disconnecting Perk stops the sync.
To link a different custom field, open Setup details on the Work locations page and click Change.
Delete unused API keys in Perk under Settings → Developer tools → API tools.
Frequently asked questions
Do I have to sync work locations to use the Perk integration?
No. Trips from Perk still flow into WorkFlex without it. Syncing makes sure that the work location chosen in Perk matches the work locations in WorkFlex, so compliance checks use the right location.
What happens to a work location I delete in WorkFlex?
It is archived in Perk, not deleted.
I don't see the sync card on the Work locations page.
Make sure Perk is connected under Company settings → Integrations → Travel Tools. If it is and you still don't see the card, contact your Customer Success Manager or WorkFlex support.
